What columns are in the template?

ColumnWhat it does
Barcode / Product CodeFor matching with barcode scanners and other templates.
Product Name / Category / UnitThe product's description and grouping.
Purchase PriceThe unit price you pay the supplier (excluding VAT).
Profit Margin %The profit rate you are aiming for.
Selling PriceAutomatic: Purchase × (1 + Margin/100).
VAT % / Selling Price incl. VATEnter the rate; the shelf price the customer will pay is generated automatically.
Unit ProfitAutomatic: Selling − Purchase. The amount that stays in your pocket per product.
Supplier / ValidityWhich company you got the price from, and the date until which the list is valid.

How to use it

  1. Download the file and delete the sample rows.
  2. Enter your products, their purchase prices and your target profit margin.
  3. Enter the VAT rate so the shelf price is generated automatically.
  4. Review the red rows where the margin is below 10%.
  5. Export the list as a PDF and send it to your customer or dealer.

Frequently asked questions

How do I update all prices when a price increase comes?

Just update the purchase price column; the selling prices and the prices including VAT are recalculated automatically by the formulas.

Are profit margin and profit rate the same thing?

In this template, the margin is the percentage added on top of the purchase price (like cost + 45%). The gross profit rate calculated on the selling price is different and comes out lower.

How do I send the price list to a customer?

You can save the file as a PDF and share it. For lists that need to stay up to date, a digital catalog is more practical: one link, and the content is always current.

Is the barcode field required?

No. If you don't use a barcode scanner, you can leave it empty or enter your own product code.

Can I give different customers different prices?

You can add columns to the right such as "Dealer Price" and "Retail Price" and set up formulas the same way. If you want to give a single customer a special price for a specific job, with quantity, discount and validity date, use the price quote form Excel template instead of this list.
