What columns are in the template?

ColumnWhat it does
Date / Document No.The date of the transaction and the number of the invoice, receipt or bank slip it is based on.
Account CodeThe identity of the account. The balance calculation runs on this code — always write the same company with the same code.
Account NameThe name/legal name of the customer or supplier.
Transaction TypeSale, Purchase, Payment Received, Payment Made, Return or Opening (carried forward) — chosen from the drop-down list.
Debit / CreditSale and purchase amounts go in the Debit column; payments received and payments made go in the Credit column.
BalanceAutomatic: calculated by subtracting the total of credits from the total of all debits for that account.
Due DateThe date payment is expected.
Due StatusAutomatic: SETTLED if the balance is cleared, OVERDUE if the due date has passed, NOT YET DUE if there is still time.

How to use it

  1. Download the file and delete the sample rows on the "Data" sheet.
  2. Give every customer and supplier a fixed account code (e.g. C-1001).
  3. Enter every invoice, payment received and payment made as a separate row; put debit and credit in the right column.
  4. Fill in the due date; the row turns red when it has passed.
  5. To see a single customer's statement, select their name from the filter in the header. We explain what the statement's columns mean, with an example table, on our what is an account statement page.

Frequently asked questions

What does "cari hesap" (customer/supplier account) mean?

A cari hesap is the running record, over time, of the debit-credit relationship between you and a customer or supplier. Every sale is entered as a debit and every payment received as a credit; the difference between the two is that company's balance. How do I read the balance?

In this template, a positive balance shows the amount "you are owed", i.e. what the customer owes you. For supplier accounts, if you enter your purchases in the Debit column, the balance shows what you owe.

Can I keep both customers and suppliers in the same file?

Yes. You just need to keep the account codes distinct (e.g. customers start with C-, suppliers with T-). You can report on them separately with the filter.

Can I print a statement?

If you select the account in the filter and print, you get that customer's statement. The page layout is landscape and set to fit on one page. If you want to send the customer a letterhead document with a stamp-and-signature area, the account statement example Excel template prepares this listing in A4 document format. To have the other side confirm the balance at the end of the statement at period end, send the account reconciliation form Excel template together with the statement.

Should I use a program instead of Excel?

Once you pass 40-50 accounts or 300-400 transactions a month, the risk of making mistakes in Excel rises. If you need due-date reminders, mobile access and statement sharing, an account-tracking app is a better fit.
