Income and Expense Statement Excel Template

The income and expense statement Excel template gathers all of your business's money in and out in a single table and automatically calculates the VAT amount, the grand total and net profit/loss. All you need to do is mark each entry as Income or Expense; the summary sheet shows the VAT you collected and the VAT you paid separately, and the month column is generated automatically from the date.

What columns are in the template?

ColumnWhat it does
Date / MonthThe transaction date. The month column is generated automatically from the date (in the format 2026-08) and is used for monthly filtering.
TypeIncome or Expense — chosen from a drop-down list, and it determines the row color.
CategoryGroups such as rent, payroll, purchases, sales, tax. Extend the list to suit yourself.
DescriptionWhat the transaction was; at month end this column answers the question "where did this money go?".
Amount (excl. VAT)The taxable amount.
VAT % / VAT AmountEnter the rate and the amount is calculated automatically.
Grand TotalAutomatic: Amount + VAT.
Payment MethodCash, credit card, bank transfer, check or promissory note.

How to use it

  1. Download the file and delete the sample rows.
  2. Enter each money in and money out as a single row; select Income/Expense in the Type column.
  3. Enter the VAT rate — the VAT amount and grand total are calculated automatically.
  4. Edit the category list to match your own expense items.
  5. At month end, read your net profit/loss and your VAT difference from the "Summary" sheet.

Frequently asked questions

Does this template replace official accounting?

No. This is a basic bookkeeping/cash tracking tool. For official books and tax returns you need to work with your accountant; the template makes it easier to prepare the breakdown you give them.

How should I determine the VAT rate?

Enter the rate that applies to your product or service (common rates in Turkey are 1%, 10% and 20%). If you are not sure, consult your accountant.

Can I get a monthly report?

Select the relevant month in the filter on the Month column; the summary figures work on all data, not on the month you select, and for a monthly total you can add a SUBTOTAL formula after filtering.

Can I track more than one business in the same file?

Just add a separate "Business" column instead of a category and filter by it; however, a separate file is recommended to avoid confusion.

Can I import bank transactions?

You can open your bank's Excel/CSV statement and copy the date, description and amount columns into this template.
