Customer Account Tracking Excel
A statement table that tracks the debit–credit balance per customer or supplier account across all transactions and gives due-date warnings.
The credit ledger Excel template (veresiye defteri, the tab book small shops keep for customers who buy on credit) is a ready-made file that replaces the paper notebook and keeps the customer name, phone, amount owed, payments made and remaining balance in a single table. It automatically counts the days overdue once the promised payment date has passed, and turns the row green when the debt is settled. It is designed for grocers, supermarkets, butchers, greengrocers, hardware stores and small shopkeepers.
Excel (.xlsx) · formulas, drop-down lists and colored alerts built in · no membership required.
| Column | What it does |
|---|---|
| Date | The day the goods were given on credit. |
| Customer Name / Phone | Who owes the money, and a phone number for reminders. |
| Item Taken / Description | What was given on credit; the most useful column when there is a dispute. |
| Credit Amount | The total amount owed. |
| Paid | The amount you have collected so far; for payments in installments, update this cell. |
| Remaining Debt | Automatic: Credit Amount − Paid. |
| Promised Payment | The date the customer promised to pay. |
| Days Overdue | Automatic: counts how many days late it is if the promised date has passed. |
| Status | Automatic: PAID (green), OVERDUE (red) or OPEN (yellow). |
The record you keep to track your own receivables is up to you. However, this ledger does not replace official accounting records; you still need to document your sales with receipts or invoices.
Filling in the description column in detail and writing the date and amount makes things easier for you. For large amounts, getting a promissory note or a written document is the safest option. Give a document when you take payment, too: the payment received receipt template prints the amount paid and the remaining debt in two copies, one staying with the customer and one with you.
If you put the file on Google Drive or OneDrive, you can view and edit it from your phone. For quick entries at the counter, a mobile credit ledger app is more convenient.
Enter each debt as a separate row and write the customer name the same way each time. When you pick that name in the filter, you see all their debts and the total.
The formulas are set up for 300 rows and can easily be extended. If you have hundreds of open accounts, a program that can send reminders will save you time.
