Account Reconciliation Form Excel Template

An account reconciliation form (mutabakat, a Turkish business practice) is a document in which two companies compare, in writing and as of a given cut-off date, whether the balance in their records is the same, and which the other side signs and returns. This file has two tabs: the first is the form itself, which you can fill in and print or send as a PDF — the closing balance and whether it is owed to you or by you are filled in automatically from the totals you enter. The second tab is the tracking list for the forms you've sent: to whom and when each was sent, whether a reply has come, whether the two figures match and, if not, how big the difference is. A reconciliation is not a payment demand; its purpose is not to ask for payment but to confirm that both books show the same figure.

What columns are in the template?

ColumnWhat it does
PeriodThe date range the reconciliation covers. A separate row is opened for each period with the same account, so past reconciliations aren't lost.
Account Code / Account NameThe counterparty's code in your system and its legal name. If you enter a code, it's easier to match against your customer account tracking template.
Contact / SignatoryWho signs the form on the other side. When a reply is late, this column tells you whom to call.
Date Sent / Delivery ChannelOn what day and how the form was sent. The channel is a drop-down list: email, KEP (Turkey's registered e-mail), courier, hand delivery, WhatsApp, fax.
Our Balance (₺) / Balance TypeThe closing balance in your records and whether that balance is owed to you or by you.
Reply DateThe day the signed form came back to you from the other side. As long as it stays blank, the row counts as being followed up.
Their Balance (₺)The figure the counterparty shows in its own records. This is the number the reconciliation actually compares.
Difference (₺)Automatic: Our Balance − Their Balance. It isn't calculated until a reply arrives, so no false difference appears.
StatusAutomatic: if there is no reply and more than 7 days have passed since sending, OVERDUE (red); if not, PENDING (yellow); once a reply has arrived, MATCHED if the figures agree and DIFFERENCE if they don't; CLOSED (green) once the correction is finished.
Difference ReasonWhere the difference comes from: discount, late-payment charge, exchange-rate difference, unrecorded return or collection, missing invoice, period cut-off shift. Dropdown list.
Closing Date / NoteThe day the difference was resolved, plus a short explanation. As soon as a closing date is filled in, the row becomes CLOSED and drops off the follow-up list.

How to use it

  1. Download the file and, on the "Reconciliation Form" tab, fill in the period, the balance cut-off date, and the details of your company and the other party's company.
  2. Enter the opening balance carried forward and the debit and credit totals for the period; the closing balance and whether it is a debit or credit balance are filled in automatically.
  3. Print the form, or save it as a PDF, and send it with your company stamp and signature; the section at the bottom has a ready-made area for the other party to write their "we agree / we do not agree" reply.
  4. Record every form you send as one row on the "Data" tab: which account, which period, which day, through which channel.
  5. When a reply arrives, fill in the Reply Date and Their Balance columns; the difference and status are calculated automatically, and rows still unanswered after 7 days turn red.

What is an account reconciliation?

An account reconciliation (known in Turkey as cari mutabakat) is the mutual confirmation that the records two companies keep for the same business relationship show the same balance on a given date. One party states its balance in writing, the other compares it with its own ledger and either confirms it or states its own figure. Is a reconciliation form the same as a statement?

No. A statement is a date-by-date listing of all of an account's transactions during the period; a reconciliation form is the short document that asks the other party to confirm the single figure at the bottom of that listing — the closing balance. In practice the two are sent together: if a difference appears, only the statement shows, line by line, where it comes from. Is this form legally binding?

Once signed by the other party, the form is a written document showing that the balance on that date was confirmed, and it carries evidentiary weight in a dispute; on its own, however, it is not a payment demand, a formal notice, or an enforcement document. If you are about to take a step with legal consequences, consult your accountant or lawyer.

When should I send the reconciliation form?

The common practice is at period ends: at the half-year close, at year-end, or on the cut-off date agreed in the contract. Beyond that, for accounts with heavy activity, reconciling more often — for example every month — catches a difference before it grows; hunting backwards through a difference that has built up over six months is much harder.

What happens if the other party does not reply?

Silence does not automatically mean "confirmed." That is why the template's "Data" tab turns a row red and marks it LATE 7 days after the send date; the Summary sheet also shows the number of records with overdue replies. This list is your reminder of whom to call.

Where do I start if the two figures don't match?

Instead of comparing totals, search by date: find the day up to which the two statements show the same balance; the difference lies in an entry made after that day. The template's Difference Reason column offers the most common causes as a dropdown list — discount, late-payment charge, exchange-rate difference, unrecorded return or collection, missing invoice, period cut-off shift.

Is the template free, and is membership required?
