Shipment Tracking Excel — Free Shipment Form and Tracking Sheet

The shipment tracking Excel template is a free .xlsx file that tracks, in a single table, every item you send to a customer: under which order and delivery note (irsaliye, Turkey's dispatch document), by which vehicle or carrier, in how many boxes it left, and whether it was delivered on the promised day. When a customer calls asking "where is my order," the answer is on one row: plate and driver, or carrier and tracking number. The first tab of the file is the printable shipment form: recipient and delivery address, transport details, boxes and quantities line by line, a delivery note and three signature fields for the preparer, the driver and the recipient are ready. The second tab, "Shipments," is the log: each shipment is one row; the days of delay are calculated by formula from the planned and actual delivery dates, and late rows turn red. The Summary tab counts shipments by status, and gives the on-time delivery rate and the same rate customer by customer. Tracking an order's amount and channel is the job of the order tracking Excel template; this file tracks the order's journey from the moment it leaves the warehouse until it is delivered.

What columns are in the template?

ColumnWhat it does
Shipment No. / Ship DateThe shipment's sequence number (e.g. SV-2026-0209) and the day the goods left the warehouse. When an order is sent in several parts, each dispatch gets its own shipment number.
CustomerThe company or person receiving the goods. Write it the SAME way on every row; the on-time rate by customer in the Summary tab is counted by this name.
Order No.The order the shipment is based on. If you write the same number as in your order tracking table, the two files can find each other.
Delivery Note No.The number of the dispatch delivery note (sevk irsaliyesi) that travels with the goods. When a customer reports missing boxes, or when an invoice is being issued, this is where you find which dispatch left under which document. Which document must be issued for which shipment, and how and when, depends on your business's situation; ask your accountant about it.
Transport MethodDropdown: our own vehicle, courier, freight company, customer collected. With a filter you can see which method makes you late more often.
Vehicle Plate / CarrierThe plate if you send it with your own vehicle, the carrier's name if you send it by courier, and the company and plate if you send it with a freight company.
Driver / Tracking No.On your own vehicle, the driver's name (and phone); on a courier, the shipment's tracking number. This is the field that answers the customer's question "where is my order."
Boxes / QtyHow many boxes (packages, pallets) and how many items in total were sent. If the number of boxes counted at delivery doesn't match what is written here, that is where the shortage shows up.
Planned Delivery / Actual DeliveryThe day you promised the customer and the day the goods were actually delivered. As long as Actual Delivery stays blank, the shipment counts as open.
StatusDropdown: Preparing, In transit, Delivered, Returned, Delayed. Delivered rows turn green, delayed ones red, in-transit ones yellow.
Days OverdueAutomatic: if delivered, actual minus planned delivery day; if not yet delivered, today minus the planned day. It shows 0 for on-time or early delivery; it stays blank on a returned row.
On time?Automatic: "Yes" if the actual delivery was made by the planned day, "No" if it was made after. The on-time delivery rate is calculated from this column.
Shipment Form and SummaryThe first tab is the printable form for a single shipment (box and quantity totals in the item table by formula, days of delay automatic). Summary: number of shipments by status, open shipments past their delivery day, total boxes and quantity, on-time delivery rate, average delay and an on-time delivery table by customer.

How to use it

  1. Download the file and type your business name, address and the shipping contact above the "Shipment Form" tab. When an order comes in, first enter it in the order tracking table; open the shipment when preparation of the goods begins.
  2. Number the shipment as the next in sequence; enter the customer, delivery address, order and delivery note numbers, and the delivery day you promised the customer. Enter each product in the item table with its boxes and quantity; the totals are calculated by formula.
  3. When the goods leave the warehouse, record them as a "Sales outbound" with a warehouse in/out slip. Once the vehicle is loaded, write the plate and driver, or the carrier and tracking number, on the form, then print it and give it to the driver or attach it to the box.
  4. Add the shipment to the "Shipments" tab as a single row the same day and set the status to In transit. When it is delivered, enter the actual delivery day and set the status to Delivered; the days of delay and the "On time?" column fill in automatically. If the promised day has passed and it hasn't been delivered, set the status to Delayed and write the reason in the Notes column.
  5. File the form signed by the recipient together with a copy of the delivery note. At the end of the week, look at the on-time delivery rate and the by-customer table in the Summary tab; filter the rows of a customer with a low rate and see whether the delays come from the transport method or from preparation.

Frequently asked questions

What is a shipment tracking form?

A shipment tracking form is an internal tracking document, signed by the driver and the recipient, showing to whom a load sent to a customer went, to which address, under which order and delivery note, by which vehicle or courier, in how many boxes and what quantity, and who received it. The first tab of this template is this form; the same details are entered as a single row in the shipment tracking log on the second tab. The form is the business's own record; it does not replace a delivery note or an invoice.

When should the shipment tracking log be filled in?

At three moments: first, when the goods leave the warehouse (shipment no., date, customer, order and delivery note no., vehicle or carrier details, boxes and quantity, planned delivery day; status "In transit"); second, when something changes on the way (delay, address problem; status "Delayed" with the reason in the Notes column); third, at delivery (actual delivery day; status "Delivered" or "Returned"). Leaving the log until the end of the day is the most common mistake; tracking numbers and plates get forgotten. The most reliable habit is to open the row as soon as the vehicle is loaded.

What information should a shipment tracker include?

At a minimum: shipment number, shipping date, customer, delivery address, order number, delivery note (irsaliye) number, mode of transport, vehicle plate and driver or carrier name and tracking number, boxes and quantity, planned and actual delivery dates, and status. The planned delivery date is the field most often left out; without it you cannot measure delays.

How are days late and on-time delivery rate calculated?

Days late is the difference between the actual delivery date and the planned delivery date; if the delivery hasn't happened yet, it is calculated against today's date, and an early or on-time delivery shows 0. The on-time delivery rate is the number of shipments delivered by the planned day divided by all delivered shipments: if 17 of 20 deliveries were on time, the rate is 85%. In this template both are calculated by formula, and the Summary tab gives the rate overall and per customer.

What is the difference between order tracking and shipment tracking?

Order tracking follows the commercial side: which channel the order came from, how much it is worth, whether it is being prepared or was cancelled. Shipment tracking follows the physical side: on which delivery note, in which vehicle and in how many boxes the goods left, and whether they were delivered on the promised day. In a small business both can be kept in one table; if an order goes out in several shipments, or you want to measure delays, you need to separate them. Keep the order in the order tracking template, the goods leaving the warehouse in the warehouse receipt and issue voucher, and the journey in this tracker, and link all three by order number.

Can I track orders, production and shipments in the same Excel file?

You can, but each stage answers a different question. This template starts at shipment; to also track orders and production, add "Order Date" and "Production Finish" columns to the left of the Shipments tab and type an "In production" option into the Status column's drop-down list (Data → Data Validation). That way the total number of days from order to delivery is calculated too. If you also want to track the order amount and channel separately, use the order tracking template alongside it.

How do I separate shipments by courier from those in our own vehicle?

Choose from the Transport Mode column: our own vehicle, courier, freight company or customer pickup. For your own vehicle, enter the plate and driver's name; for a courier, enter the company name and tracking number. When you filter the column, you can see which mode of shipping has the most delays.

Is this Excel enough, or do I need shipment tracking software?

It is enough for a business that ships a few orders a day and has one person keeping the records. The file is in Excel (.xlsx) format because totals, days late and the delivery rate are calculated by formula. You can open it in Excel, Google Sheets or LibreOffice and print the shipment form, or save it as a PDF and send it to the customer. For a blank form, delete the sample rows, print it and fill it in by hand.
