Stock Count Report Example (Excel Template)

A stock count report is a document, closed with the signatures of the counting team, that records in writing when, where and by whom a physical count in a warehouse or store was carried out, and what the result was. It should not be confused with a count sheet: the sheet is the working table that compares the system quantity with the counted quantity item by item — for that there is the warehouse count (inventory) Excel template. The report, on the other hand, summarizes the result of that work on a single page and puts it under signature. The first tab of this file is the printable report itself: report no., count type, counting team table, result summary, remarks field and signature blocks are all ready. On the second tab you enter the counted items; the number of items counted, the items found short and over, and the net difference amount are written into the report by formula.

What columns are in the template?

ColumnWhat it does
Report No / Count DateThe report's serial number and the day the count was carried out. If you run more than one count in the same year, the number shows which report belongs to which count without confusion.
Count TypeDrop-down list: year-end, period-end, handover, partial (cycle) or extraordinary count. It states on the first line why the report is being drawn up.
Start / End TimeThe hours between which the count was carried out. It is recorded to show that no goods came into or left the warehouse during the count.
Business / Warehouse / Count ScopeThe company's legal name, the warehouse or store where the count was carried out, and the scope — the whole warehouse or only certain aisles.
Counting TeamA table with columns for full name, role, count area and signature. The role is a drop-down list: count lead, counter, recorder / checker, warehouse manager, handing over, receiving, observer.
Count ResultAutomatic: number of items counted, items matching the records, number of items found short and over, the short and over amounts, and the net difference amount. The figures come from the item list on the second tab and are not typed in by hand.
Notes / RemarksSituations encountered during the count, items that were counted a second time, and any objection raised by one of the signatories.
Item List (Data tab)Item code, name, unit, system quantity, counted quantity, unit cost and difference explanation. The difference, difference amount and result (MATCH / SHORT / OVER) are calculated by formula; an item whose counted quantity is left blank is treated as "not counted" and is not included in the result.
Signature BlocksName and signature fields for the count lead, the warehouse manager and the business authority.

How to use it

  1. Download the file and fill in the report number, count type, date and start time on the "Count Report" tab.
  2. Fill in the business, warehouse and count scope lines; add everyone taking part in the count to the counting team table, with their role and the area they will count.
  3. Enter the counted items on the "Data" tab: the system quantity from your records, the counted quantity from the count. The difference and result are calculated automatically; items found short turn red.
  4. Have the items with differences counted a second time, and select the reason for any remaining difference in the Difference Explanation column; the result summary on the report updates by itself in the meantime.
  5. Enter the end time and any remarks, print the report and have the counting team and authorities sign it; keep the item list together with the report as its attachment.

What is a stock count report?

A stock count report is a document, signed by the counting team, that records in writing the date and hours of the physical count, where it was carried out, its scope, the people who did the counting and the result. Its purpose is to put on record, in a way that cannot be disputed later, that "on that day, in that warehouse, these people counted and this was the result". The item-by-item count results are kept as an attachment to the report.

Is a count report the same as a count sheet?

No. The count sheet is the working table that compares the system quantity with the counted quantity item by item; it is filled in during the count and the difference appears there. The report is the document that summarizes the result on a single page after the count is finished and is opened for signature. If you only need the difference table, the warehouse count (inventory) Excel template is enough; if you want to close the count with a signed document, this file gives you both in one.

How do you create a count report?

Five sections are enough: (1) report no., date, count type and hours; (2) business, warehouse and scope of the count; (3) counting team — full name, role, signature; (4) result summary — items counted, items short and over, net difference amount; (5) remarks field and signature blocks. All five are ready in this template; you only fill in the details and the item list.

Is a year-end stock count report mandatory?

Whether an inventory must be taken at year-end, and in which books and documents it must be shown, depends on tax legislation and the business's bookkeeping type, so we do not state a firm rule here. Consult your accountant for legal book and document requirements. This template is a sample document for recording the count in an orderly way; it is not an official form, and if your accountant wants a different layout you can change the texts and fields.

Who signs the report?

The common practice is for the team that actually carried out the count, the warehouse manager and the business authority to sign. In a handover count, the person handing over and the person taking over always sign; the Role list in the template has these two roles separately. If one of the signatories has an objection, writing the objection in the remarks field and having them sign that way, rather than leaving the report unsigned, documents what was disputed later on.

Is there a stock count report sample as a Word file?

The file is in Excel (.xlsx) format because the result figures are calculated by formula from the item list; this calculation cannot be done in Word. You can open it in Excel, Google Sheets or LibreOffice and print it directly, or save it as a PDF. If you must keep the document in Word, fill in the report tab, then copy it and paste it into Word; the figures are fixed at their current values.

What do you write in the report if the count shows a difference?

First, have someone other than the first counter recount the item with the difference; the difference remaining after the second count goes into the report. The template lists short and over items and their amounts separately; the reason for the difference is chosen from the Difference Explanation column in the item list, and situations that need attention are written in the remarks field. Is the template free, and is membership required?
